Choosing the Right NDIS Provider: a practical checklist

Intro

Choosing a provider is a personal decision: the right provider will understand your goals, communicate clearly, and support you to build independence. Below is a practical checklist plus the most useful questions to ask before you sign up. For official guidance on finding registered providers and thinking about waiting lists, the NDIA offers helpful resources. NDIS+1

The provider checklist (what to look for)

  1. Services match your goals — Do they deliver the specific supports you need? (e.g., SIL, therapy, community access)
  2. Experience & qualifications — Ask about staff qualifications, checks and training for the supports you need.
  3. Registration status — Are they registered with the NDIS Commission for the supports you want? Registered providers must meet additional standards; unregistered providers can still deliver many supports but may have different obligations. NDIS
  4. Availability & location — Can they provide services when and where you need them? Ask about wait lists and back-up plans. NDIS
  5. Communication & accessibility — Do they communicate clearly and offer accessible ways to contact them?
  6. Value for money & transparency — Do they provide clear quotes and explain any fees beyond NDIS price limits? (If a support costs more than the listed price, ask for a written explanation.) alldisability.com.au
  7. Quality & safety — Ask about incident management, worker screening, complaints handling and insurance.
  8. References & reviews — Ask for references or check independent reviews where possible.

Key questions to ask a prospective provider

  • What experience do you have working with people with needs like mine?
  • Are you registered with the NDIS Commission for these supports? If so, for which supports? NDIS
  • How will you work with my support coordinator/plan manager?
  • How do you manage cancellations, changes, or urgent needs?
  • Can you provide a written quote or service agreement before I accept supports?
  • What training and checks do your staff hold?

Practical steps to compare providers

  • Make a short list of providers and request a plain written quote or service outline from each.
  • Ask about a trial period or first few sessions to decide if the match is right.
  • Involve your nominee, family or support coordinator in meetings when possible.

If things aren’t working

You can change providers if your current supports aren’t meeting your needs. If you have concerns about safety or provider conduct, raise them with the provider directly and consider escalating to the NDIS Quality & Safeguards Commission for serious matters. NDIS
